Responsibilities

The Legal Secretary provides dedicated support with all administrative tasks including but not limited to: Billing, Diary and Travel Management, Business Development Coordination, Client Relationship Coordination and Management of Files.

 

  • Provide full spectrum of secretarial support to the Fee Earners
  • Arrange internal and external meetings, take care of room bookings and update meeting invites to Fee Earners’ diary promptly
  • Organise and book travel in line with office policy, including research on the most cost-effective transport and accommodation options, book flights and hotels, managing visa applications and setting up business meetings on behalf of Fee Earners
  • Manage and coordinate the billing process on behalf of Fee Earners, prepare billing guides and WIP reports; liaise with Fee Earners to discuss on billings; produce/review/amend narratives; liaise with the Finance Team; verify third party invoices; draft routine billing correspondence to be sent out to the clients; check and ensure billing rates are correct; ensure bills are sent out on time and monitor outstanding bills
  • Input timesheets for Fee Earners into the Time Recording System
  • Process expense claims on time into ChromeRiver System
  • Undertake any printing, photocopying, scanning and binding as required, ensure documents are collated in correct order
  • Communicate effectively with management, internal and external clients

 

Qualifications / Person Specification

  • Minimum Diploma qualification
  • Minimum 2 - 4 years’ legal secretarial experience from well-regarded legal firms with experience in project management on transactional matters
  • Excellent communication skills in both written and spoken English
  • Excellent PC skills in MS Word (with strong formatting skills), MS Excel and Powerpoint
  • Strong initiative, organization and problem solving skills with a willingness to learn and adapt
  • Strong interpersonal, communications and teamwork skills
  • Ability to remain calm and retain a professional attitude under pressure
  • Self-motivated, self-directed and proactive with excellent time management skills and a strong sense of responsibility
  • Detail-oriented with the ability to multitask and work independently to produce high quality/accurate work
  • Highly flexible to work beyond office hours
