Responsibilities

Operating as Mayer Brown PK Wong & Nair in Singapore we have been working in a Joint Legal Venture since 1 January 2023.  Singapore is one of our fastest growing offices in the region and it is an exciting time to join the firm as we continue to progress.

Our Legal Secretary Team is highly regarded and we are looking to hire a Junior Legal Secretary who is in the beginning stages of their legal support professional career, and who is wanting to progress in a firm on a growth journey.  They will work alongside a Senior Legal Secretary to learn and collaborate on meeting stakeholders needs.

 

  • Provide accurate, timely and professional support to Partners and Lawyers within the stakeholder group.
  • Work alongside a Senior Legal Secretary to learn best practice and internal firm processes to meet the business needs.
  • Develop and establish a career as a legal support professional in a leading global law firm.
  • Arrange meeting and managing calendar to facilitate streamlined working habits, including time recording for fee earners.
  • Assist in creating letters, preparing presentation materials and legal document collation.
  • Responsible for file management on the iManage document management system, and maintaining good filing practices.
  • Liaise with travel providers to arrange business travel and client/seminar meeting attendance.
  • Assist in the preparation of bills and liaising with the Accounts Team to ensure accurate issuing inline with firm processes.

Qualifications / Person Specification

  • Formal secretarial or legal professional studies.
  • This role is suitable for someone who is at the start of their legal support professional career.
  • Less than 2 years' legal secretarial/administrative experience, and who is willing to develop and learn under guidance.
  • Experienced in MicroSoft Word, Excel, PowerPoint and Outlook.
  • Comfortable learning new technologies and developing best practice in tasks specific to the legal profession.
  • Confident in written and spoken English and in liaising with stakeholders in person and remotely.
  • Uses initiative to get tasks done, is detail orientated and proactive about 'what else' when managing stakeholders matters.
  • Enjoys working in a team orientated firm, and willing to assist colleagues when additional support is needed.
  • Organised, and with the ability to prioritize and work to meet tight deadlines.
